Proposed Bylaw Update & Extraordinary General Meeting (EGM)

Dear Members,

We hope this message finds you well.

As part of our ongoing commitment to best practices and effective governance, we are proposing an update to our Bylaws. This revision will introduce a formal nomination process, enabling our Nominations Committee to better plan for the Annual General Meeting (AGM) each year.

The details of the proposed changes are outlined below, and for reference, our current Bylaws are attached. Since the existing Bylaws do not include a nomination process, this will be an addition rather than a modification or removal of any existing provisions.

To formally adopt these changes, we require membership approval. Therefore, we invite you to attend an Extraordinary General Meeting (EGM) where we will review and vote on the proposed updates.

Date: Monday, March 31st 

Time: 4pm to 5pm.

Location: on the SS Sicamous - 1099 Lakeshore Drive West.

Proposed Update the S.S. Sicamous Society Bylaws

1. The Nominations Committee shall issue an open call for nominations from Voting Members and, based on the nominations the Nominations Committee receives, shall develop a list of recommended nominees for each available position and obtain the written consent and biographical information of each such recommended nominee.

2. In addition to recommendations of the Nominations Committee, nominations may be made by:

a. any Voting Member nominating himself or herself provided that the nomination is submitted to the Board not less than twenty (20) days before the election date together with the nominee's consent and credentials, and the Board shall circulate such information in the same manner the Board is circulating the information of the recommended nominees made by the Nominations Committee; AND

b. any Voting Member nominating a Voting Member provided that the nominee's consent and credentials have been obtained by the nominator and provided that the nomination, consent, and credentials of the nominee are submitted to the Board not less than twenty (20) days before the election date, and the Board shall circulate such information in the same manner the Board is circulating the information of the recommended nominees made by the Nominations Committee.

3. At least fifteen (15) days before the Annual General Meeting, the Nominations Committee shall provide notice to all Voting Members of its recommendations together with biographical information.
